Meeting was called to order at 8:15pm, Tuesday, July 30, 2002 at Flagstaff Model Railroad Club, Coconino Co. Fairgrounds, Flagstaff, AZ.
1) Membership Application Form. Paradis announced revised membership forms. Some members had comments previously suggesting the addition of a signature line at the bottom of the form, indicating the new member had read and understood the bylaws. Copies of the new form have been placed in the information booth.
2) Reading of new membership applications. First reading for Larry Davis.
3) Project Proposals for FY2003. Paradis reminds Club about proposal deadline for projects, due the last Tuesday of September. Club members can turn in proposals after the deadline, but proposals submitted by the deadline will have priority for first round of funding. This deadline coincides with the annual schedule which is found on the web site and in the club information booth.
4) Treasurer's Report. Snow reviews current budget status. Project budget: (Budget numbers not available on web. See hard copy of minutes for budget breakdown.) More receipts expected to come in from current projects.
5) Trainmaster's report. Goodwin reports: The orange remote control DC throttle is now hooked up to orange cab, appropriately colored. Goodwin's personal throttle is still in the back, perhaps to be used at Fair. Maintenance on the ad train is almost complete. Paradis notes that metal wheels for the ad train and other rolling stock have been ordered but have not yet arrived. Metal wheels will help reduce the need for numerous engines on the long ad train. Snow asked about new ad cars that had recently been purchased. Goodwin replied that he has built two new cars. One ad car had to be totally replaced. There is plenty of room for more ads for the ad train for Fair. Joe Cluck commented that several business sponsors have reported customers who have come directly because they have seen our ads in the past on the ad train. Curtis Deibel reminded everyone that we are not selling donations, but selling advertising. Snow mentioned that he created an updated "let's put your name on the train" letter for potential business sponsors.
6) Vice President's report. Hadder reminded the club that engine #3751 will be in Williams for the NRHS convention. Tickets are being sold for various trips.
7) Secretary's report. Gallagher: Nothing to report at this time. Question was asked about the lock to the gate, which is missing. Paradis presumed the county was setting up for the Fair and thus he would inquire about the lock following the Fair.
8) Operating Guidelines for County Fair. Paradis clarified that this document shows the obligations and responsibilities for club members while operating for the county fair. The operating guidelines were compiled and agreed to by the Fair Operations Committee at a previous meeting. Paradis reviewed the major responsibilities with the Club. He further repeated the request to hopefully have every member sign up for at least two shifts for the Fair, so that every shift has at least three people. Also, this will be the first year for a "welcome tent," and we're hoping to staff it on Saturday and Sunday at the least, more if possible. Bruce Petrarca may supply a small switching layout for the tent, or the club can use its 4x8 portable layout. Discussion continued regarding what displays might be included in the tent. Joe Cluck agreed to be in charge of the Welcome Tent this year. Paradis passed around the sign-up sheet for fair shifts. It will then be placed on the bulletin board. Discussion ensued about various preparations for fair, and who would do what. Ads for the ad train were distributed to members for re-sale. Meeting adjourned, time unknown.
