TRANSMITTAL LETTERS
Assume that your cannot see your "prospective"
customer in a face-to-face selling interview. Further assume that the "prospect"
wishes you to send a detailed proposal of meeting details and pricing BEFORE
they will consider talking with you (salesperson) any further. This is when
you use a "Sales Proposal Transmittal Letter."
Think of this letter like the "cover letter"
that you send with your resume when looking for a job (isn't this also a selling
situation)? In this case, your resume supplies details while your cover letter
introduces and gives an overall and introductory "softsell." When
a proposal is sent in the mail, the salesperson isn't their in person to explain
anything. Thus, the sales transmittal letter introduces and gives a "softsell"
to the proposal.

WRITING A "SALES PROPOSAL COVER LETTER"
LAYOUT
Appropriate business letter style appearance, i.e. inside
address, salutation, paragraphing, complimentary close, margins, spacing
TYPED
Perfect with no errors in 12 font.
GRAMMAR AND STYLE
Letter is clear and concise. Sentences read well. Letter
is upbeat and enthusiastic.
FIRST
PARAGRAPH
Include thank-you for contacting the Hyatt as well as
a sentence prefacing why you are writing.
SECOND PARAGRAPH
Acknowledge the "buying conditions" or "needs"
revealed to you by the customer and briefly state the features and benefits
that the Hyatt offers to address each.
THIRD AND FINAL PARAGRAPH
Include a statement regarding future contact. Remember
that the salesperson will also follow-up this letter with a telephone call.
For example: "Again, I appreciate your contacting us regarding your upcoming
meeting. I will call you next Thursday to talk with you further regarding
this proposal. Should you have any questions prior, please don't hesitate
to call me."
